Rota & time clock

Restaurant staff scheduling and time clock

The rota, the clock and the team in step

Restaurant scheduling software with a time clock: publish the week, let the team swap and pick up shifts from their phone, and know who is clocked in right now.

    Plan the week

Add shifts with breaks and open shifts, with a warning when someone has too many hours or too little rest. Nothing goes out until you publish.

  2. 02

    Clock-ins you can check

Staff clock in with a PIN at the till, on a door tablet or on their phone. Missed clock-outs are listed, and every correction keeps its reason.

  3. 03

    The team in the loop

Staff offer shifts, take open ones and ask for days off. Team notes show at clock-in, and you see who has read them.

How to start

What you do in the back office to switch it on.

  1. Set your rules for hours and rest.
  2. Add the week’s shifts, then publish them.
  3. Set up a clock-in tablet or print the clock-in poster.

How it works

Take a cafe with eight staff that publishes its rota every Sunday and wants clock-ins it can trust.

  1. The manager sets the rules once: a weekly hours warning, a minimum rest between shifts and whether swaps need approval. Then they add the week’s shifts with breaks, leaving some open for anyone qualified to take.
  2. The rota shows warnings for overlaps, approved days off, standing unavailability and short rest. They are warnings, so the manager can still go ahead. Pressing publish sends each person with a new or changed shift their week.
  3. Staff clock in with their PIN at the till or on a door tablet, or from their own phone after scanning the venue’s clock-in QR. They can start and end a break, and clock out.
  4. During the week staff offer shifts, swap with a colleague, take open shifts and ask for days off. At the end, the manager checks missed clock-outs, corrects entries with a reason and exports hours for payroll.

What you need

  • A browser on a computer or phone for the manager. Staff need a team account, with a PIN for the till and door tablet, or a signed-in phone for the QR clock-in.
  • A tablet or any device with a browser at the door if you want a shared clock-in point. A branch can be limited to its own network, so punches from elsewhere are refused.
  • The rota and time clock sit with the point of sale feature, and managers need schedule permission. Which plans include it is listed on this page.

What it does not do

  • Rule checks warn and do not block. A manager can knowingly schedule someone on an approved day off, and the choice stays theirs.
  • A clock-in left open is flagged as missed after 16 hours so a manager can close it with a reason. The system does not guess a clock-out time for you.
  • Shifts are entered by hand or copied from a previous week. The rota is not generated for you, and BookNDish does not pay wages. Pay figures leave as a payroll CSV.
